Registration Rates and Information

All are welcome to attend the 2022 Winter Conference on Brain Research! All attendees, including presenters, pay the registration fee.

 Registration includes the following meals and functions: Sunday Opening Reception, Monday – Friday Breakfasts, Thursday Mountain Lunch, Monday and Wednesday Refreshment Breaks, Thursday Special Poster Reception, and Friday Closing Banquet.

If you are staying within the WCBR room block at the Viewline Snowmass Resort you will receive a $200 discount on published registration rates.*

The opening reception will be Sunday, January 30 and the closing banquet will be Friday, February 4, 2022. The scientific content begins with the opening Keynote Session on Monday, January 31 and ends Friday evening, right before the closing reception.

Affiliate Meeting Request
The Winter Conference on Brain Research is an excellent resource for networking and we would like to offer you the chance to take advantage of this opportunity, by hosting smaller events in conjunction with the larger meeting.

Small events may include: meetings of investigator groups, organization board meetings that have restricted and defined attendance and company-sponsored receptions that are open to all WCBR attendees. Events for open attendance may be listed in the WCBR program. Small event scientific symposia are not permitted at WCBR. Any receptions, hosted suite functions, or meeting (on or off site) must occur outside of WCBR scheduled events.

Mandatory Vaccination Requirement

Cancellation Policy
POLICY UPDATED JANUARY 8, 2022: If you find yourself in need of a conference cancellation due to COVID-19 concerns, please reach out to the Executive Office at info@winterbrain.org so we can assist. WCBR will provide a full refund for COVID-19 cancellations until Friday, January 14, 2022. All refunds requested after that date will incur a $150 processing fee.

Housing

VIEWLINE RESORT SNOWMASS
The group rate for WCBR attendees begins at $189++ for a standard king room at Wildwood Resort. To reserve your room in this block, call 1-970-923-8400 or click the link – Viewline Snowmass Resort (WILDWOOD). In order to receive the discounted group rate, make your reservations before Monday, January 3, 2022. After January 3, rates will increase based on the hotel’s availability.

WCBR also has a discounted block of upgraded rooms beginnings at $319++ for a standard king room at Viewline Resort Snowmass in the hotel previously known as The Westin Snowmass Resort. To reserve your room in this block, call 1-970-923-8200 or click the link – Viewline Resort Snowmass (WESTIN). In order to receive the discounted group rate, make your reservations before Monday, January 3, 2022. After January 3, rates will increase based on the hotel’s availability.

NOTE: Viewline Resort Snowmass may be published as Westin Snowmass on links and websites. The Westin is currently undergoing full renovations and rebranding, and will be hosting WCBR under the Autograph Collection Hotel flag as the Viewline Resort Snowmass in January.

CONDOMINIUMS
This year, a select number of condominiums are included in the WCBR room block discount. The deadline to reserve your condominium within the WCBR room block is Tuesday, November 30, 2021.

Laurelwood Condos – Laurelwood takes reservations by call-in and email. To make a reservation, call 970-923-3110 ext. 1 during standard business hours or email laurelwood@laurelwoodcondominiums.com. Aspenwood and Interlude Condos – Aspenwood and Interlude take reservations by call-in only. HOTEL INFORMATION

  • All conference meetings will take place in the newly renovated Viewline Resort Snowmass, which is also where the majority of the WCBR block of rooms are located.
  • Complimentary Viewline Resort amenities included with reservation:
    • ​High-speed wireless internet in lodging rooms
    • Complimentary ski and snowboard storage
    • Aspen-Pitkin County Airport (ASE) pick-up and drop-off
    • Fitness center use
    • Complimentary local and 800 number phone calls
  • Hotel Stay Deposit: ​A credit card is required to be placed on file at the time the reservation is made. Room, tax and fees for the entire stay is required 30 days prior to arrival.
  • Hotel Cancellations:  There is no cancellation penalty if cancellation is received by the Viewline Snowmass Resort at least 30 days prior to arrival and a cancellation number is obtained. Cancellations or modifications resulting in a shorter length of stay, made within 30 days of arrival will be subject to full forfeiture of room and tax charge. No-shows, delayed arrivals and early departures are considered cancellations.
  • Check-in time: 4:00 pm
  • Check-out time: 11:00 am.
  • Luggage storage is available through bell service for guests arriving prior to check-in time and for those involved in meetings or activities that extend past check-out time.  Photo ID is required at check-in along with a credit card or cash deposit for incidental charges. Debit cards are not recommended.
LAURELWOOD CONDOMINIUM INFORMATION
  • Laurelwood Condominiums is a non-smoking hotel.
  • A fee of $12.50 per day is charged for parking by the town of Snowmass Village.
  • 10% of the total reservation cost is due upon booking. Remainder is due 30 days prior to arrival.
  • Cancellation 31 days or more prior to arrival with result in an owed amount of 10% of the total reservation value. Cancellations 30 days or closer to arrival will result in an owed amount of 100% of the total reservation value.
  • No refunds are made on unused nights resulting from late arrivals or early departures, regardless of cause.

Scientific Content

Thank you for your interest in submitting your science to 2022 WCBR. At this time, all submissions have closed. 

WCBR offers a unique environment in which neuroscientists from many different disciplines interact in a comfortable, relaxed environment. The traditional scientific panels are scheduled from 7:30 to 9:30 a.m., 4:30 to 6:30 p.m. and 7:00 to 8:30 p.m.; this schedule allows ample time for informal discussions while riding the chair lift or engaging in other outdoor activities. COVID-19 Updates

WCBR COVID-19 Health and Safety Guidelines 

At WCBR, we encourage you to make informed decisions about traveling. Please view the statement from the Executive Committee and current COVID-19 related guidelines for relevant governing authorities below.

Mandatory Vaccination Requirement

Given the recent surge of the COVID-19 Delta variant, WCBR is implementing a mandatory vaccine requirement for all in-person meeting attendees. Entrance to the Conference Center and all designated WCBR meeting spaces will also be limited to registered scientific meeting attendees and staff only. Guests and children will still be welcome to attend the Mountain Lunch and Closing Banquet with purchased guest tickets.

All registrants will be required to upload a photo of their COVID-19 vaccination card during registration. Those wishing to apply for a medical exemption authorized by their primary care provider may reach out to the WCBR Executive Office at info@winterbrain.org to request a medical exemption form.

During registration, attendees will also be asked to sign the WCBR Waiver and Release of Liability for Communicable Disease, acknowledging that they understand the risks involved with in-person meetings. Due to the evolving nature of COVID-19, WCBR will publish all final safety protocols (in the form of a COVID Code of Conduct) on December 1, 2021 to ensure that the most up-to-date guidance from the CDC is considered. Registrants will receive the COVID Code of Conduct via email and will need to attest that they will comply with these measures.

COVID Update from Aspen & Snowmass Tourism Center: Summer is in full swing in the Roaring Fork Valley. The bike trails are open, the lifts are spinning, the fish are biting, and we’ve fired up the grills on our mountains for lunch with a view. As we soak up the summer, we’ve seen continued improvement across all Covid metrics and things are mostly back to pre-pandemic operations. Capacity and social distancing rules have mostly been eliminated, but individuals are still required to follow rules implemented at a federal, state, and local level where applicable. In Aspen and Pitkin County, mask restrictions were lifted in all indoor and outdoor public settings in early June. Festivals and sporting events are back on, and on-mountain activities are in full swing on Snowmass and Aspen Mountain. We ask that all guests keep themselves updated on rules surrounding specific events and venues.
