Photography and Videography Policy

Winter Brain does not allow photography of oral presentations, slides, and/or posters without permission from the presenter. At the beginning of the presentation, the presenter must either grant permission to the audience and/or include an icon on the first slide or poster signifying photos are allowed. No videography by attendees is allowed at oral presentations, slides, and/or posters.

Privacy Policy

The WCBR (“WCBR” or “our” or “us”) respects your privacy and is committed to protecting it at all times. This online Privacy Policy explains how WCBR collects, uses and safeguards information on its various websites and apps. We collect information about our users in three ways: directly from the user, from our Web server logs and through cookies and other technologies. Cancellation Policy

A partial refund will be honored before December 27, 2024, less a $150 service fee. No standard refunds will be issued after December 27, 2024. Substitutions are allowed at any time. For cancellations, please contact the Executive Office directly at info@winterbrain.org.

Vaccination Policy and Procedures

All attendees and guests will be required to submit a waiver of liability and assumption of risk during registration process. All attendees and guests will be required to attest that they will test for COVID-19 and follow current CDC isolation and masking guidance if exhibiting any symptoms prior to the departure for the meeting or while attending the meeting. All attendees and guests will adhere to all safety and health protocols issued by Winter Brain or any federal, state or local authorities in place at the time of the conference. Masks are welcome but not required. Any attendee or guest that exhibits cold-like symptoms should wear a mask to help prevent the spread of communicable disease.

Winter Brain Room Block Policy

All attendees, including presenters, pay the registration fee. If you are staying within the Winter Brain room block, you will receive a $200 discount from the registration fee. *Student Presenters are not eligible for the housing discount.
